Agree the document package when placing the order, not only when the goods are ready. A management-system certificate and the inspection documents for a particular shipment answer different questions.
Name the required documents
List the material specification, grade, inspection-document requirement and any project-specific reports. BS EN 10204 concerns types of inspection documents for metallic products. Specify the required document type in the purchase order instead of using the vague phrase “quality certificate.”
Connect the paperwork to the goods
Ask how the product or package identification will link to the relevant batch or heat and accompanying records. At receiving, compare the order line, material designation, markings, quantities and document references. Resolve mismatches before accepting the document package as complete.
Keep the scope clear
If dimensional records, additional material tests, independent inspection or special marking are needed, request them explicitly before order acceptance. Do not assume every test or document is included in the base price. Confirm what will be supplied, who issues it and when it will be available.
Questions buyers often ask
Does an ISO management certificate identify the material of each delivered fitting? No; use the order-specific evidence and traceability records. Can a certificate be reused for another batch? A document must correspond to the goods it describes; obtain the correct records rather than changing an old document.
