Receiving is the point where the purchase order, delivered items and documents must meet. Use an agreed process to identify discrepancies before the items are released for installation.
Check the shipment identity
Match the delivery and packing references to the order. Count packages and note visible transport damage before unpacking. Keep photographs linked to the correct package number; an unlabeled image is difficult to trace later.
Check items against their lines
Compare product type, quantity, size, material identification and required markings with the accepted order. Use the approved drawing and inspection plan for dimensional acceptance. Keep different grades and sizes identifiable while unpacking so labels are not separated from the goods.
Reconcile the document package
Check that the required records relate to the delivered items and that any agreed deviations are documented. When a discrepancy is found, record the affected order line, quantity and evidence, then ask the responsible project team and supplier for resolution. Avoid editing labels or certificates merely to make them appear consistent.
Common question
Should a missing document be treated as a confirmed material failure? Record exactly what is missing and request verification; do not invent a conclusion. Equally, a visually correct item should not be released solely on appearance when the order requires additional evidence.
